How to Prepare a Tender Bid Pack

A strong bid pack is complete, easy to evaluate and submitted exactly as the buyer requests. Start with the official tender checklist, then work backwards from the closing date.

Understand the evaluation requirements

Separate mandatory requirements from functionality, preference points and price. Build a response matrix that maps every requirement to a page, attachment or evidence item in your submission.

Organise the evidence

Use clear file names and keep current versions of company, tax, B-BBEE, experience, personnel and pricing documents. Do not include a document just because it is common in tenders if the buyer did not ask for it.

Review, sign and submit

Complete the forms, validate totals, obtain authorised signatures and check the submission channel. Submit early enough to handle upload or delivery issues, then retain the final response and confirmation.
